stakes and ribbon (ribbon is usually donated by Tucker Rocky)

for the entire Grand prix course
- Conducting

- Obtaining
insurance - Contact HPGP Pres. and provide required additional
insured.
HPGP will buy policy and take it out of the proceeds on race day.
Typically the circuit will provide
release forms but check to be sure.

Sponsorship Chairperson (David Cadd)
- Responsibility
consists of gaining sponsorship to cover the majority of our enduro and
grand prix costs.
- Working
with sponsors to ensure their products and/or name gets proper exposure.
Miscellaneous (David Cadd)
- Concessions, Make sure you instruct the concession
people that all officers in uniform get a running tab for food.
You will need to settle up at the
end of each day.
- Grand
Prix and Enduro stakes. We try and get these from the boll weevil program.

Flyers to dealers
- Send Flyers to all TSCEC and RMEC
members. You will need to get with each organization for
a current mailing list. Flyers should be
sent 30 days before the event.

suggested payout(if available) : 1st-$350, 2nd-$250,
3rd-$175, 4th-$125, 5th-$100
- Obtain
event insurance. TSCEC will place policy and PEA will reimburse TSCEC.
Work with
Vernon. We provide additional insured. It
will always be the landowners, PEA, Gin, Texas Parks
and Wildlife, etc.
- Order
trophies - Brasher in Amarillo
is good. They will do all the work
- Obtain
permission for signup facility
- Reserve
CC for Saturday night meeting, there will be a charge
- Obtain
permission for Grand Prix route
- Directional
signs for guests - Camping, Signup, stay-off, etc
- It is
club tradition for the President to deem the weekend before, of and after
to be free guest weekends This
is to
accommodate guests that help the club. Remember, this does not apply to Evans
land, which always forbids guests
except for enduro weekend only.

Cleanup Chairperson (weekend after enduro)
- Arrange
for equipment to grade Grand Prix course. Dale Ramsey of Quitaque grated
the course in 2007 and did
a great
job. Use him again, it is worth every penny (paid $150
in 2006)
- Coordinate
cleanup crews for Grand Prix and Enduro
- Plan
for refreshments for each group (Ranch and Grand Prix)
- Plan
hamburger cookout after cleanup
- Reserve
community center for cleanup party
- Arrange
for disposal of collected material
